While most of us have our physical prep down to a science, financial records are often left off the emergency checklist. When heavy winds or coastal floodwaters threaten, paper tax returns, home deeds, and insurance policies are the last things you want to be hunting for in a hurry.

Taking just fifteen minutes to tax-proof and protect your financial documents now can save you months of stress if (and when) severe weather hits. Here is a quick guide to getting your finances storm ready.

Do a 5-Minute Smartphone Walkthrough

If you ever need to file an insurance claim or report a casualty loss on your tax return, proving what you owned before the storm is half the battle.

  • How to do it: Grab your cell phone, press record, and walk slowly through every room in your house or office.
  • What to capture: Open closet doors, zoom in on high-value electronics, show furniture, and step outside to capture your roof, landscaping, and outdoor gear.

Upload that video to a cloud service like Google Drive or iCloud immediately. If you ever have to rebuild an inventory list for insurance or tax purposes, that quick video is worth its weight in gold.

Go Digital with Core Financial Documents

Paper records do not stand a chance against water damage. Converting your most important paperwork into digital files ensures you can access them from anywhere, even if you have to evacuate along the coast.

  • Key documents to scan:
    • Recent tax returns (at least the last three years)
    • Property deeds and auto titles
    • Homeowners, flood, and auto insurance policy pages
    • Birth certificates, passports, and Social Security cards
  • Storage: Keep these scans in a secure, encrypted cloud folder or on a password-protected thumb drive that stays in your emergency go-bag.

Create a Waterproof “Grab-and-Go” Container

For the original physical documents you must keep on paper, invest in a simple heavy-duty, waterproof zip bag or a portable fireproof safe. Keep this bag in an easily accessible location so you can grab it in seconds if evacuation orders are issued. If power outages last for days after a storm, having hard copies of your insurance agent contact info and policy numbers right at your fingertips will speed up your recovery.

Save Every Post-Storm Receipt

If a storm damages your property, your smartphone camera remains your best friend. Before doing any cleanup, photograph the damage from multiple angles. If you buy tarps, plywood, ice, or hire emergency contractors for cleanup, snap a photo of every single receipt right away. Printed paper receipts fade or get lost easily, but those digital photos will serve as proof for insurance claims and potential tax relief.
